October updates: invitations from your dashboard, even when guests share an email address
Mailing in the dashboard sends every guest their own email with their own links, even when several share one address. Also: extra events on the same list at 1%, a balance check before every paid service with a Top up button, typo-proof email fields and the 2026 video tutorial.
October brought a lot of changes, most of them internal or for particular cases. Here are the ones that change something you can actually do, starting with the one corporate event organisers have asked us for most.
The big one: invitations from your dashboard, shared addresses included
At a corporate event it's normal for one email address to need several invitations:
- the executive assistant who manages three directors' diaries and wants all three invitations in their own inbox;
- the guest bringing companions, each with their own badge;
- a department mailbox several people sign up from.
Bulk email tools (Mailrelay and the like) work from a subscriber list in which each address counts once: they won't send two emails from the same campaign to the same address. Three records sharing an email get one email, with one person's details, and the other two are left without their invitation and without their links to reply.
Every record gets its own email
Mailing in the dashboard fixes that: each attendee record gets its own email, with its own personal links, even when several share an address. If the assistant manages three directors, they get three emails, and each "I'll attend" or "I won't attend" confirms the right person.
That's the default. The opposite option, One per address, is off unless you switch it on: it's meant for general notices with no personal data (a room change, a timing reminder), where one email per inbox is enough. If you switch it on with a template that carries personal links, the dashboard warns you.
One dashboard instead of two
Until now, inviting with an outside tool meant exporting the list, building the campaign there, following it there and bringing the replies back. With Mailing, everything happens where your event already lives:
- Invitations from your own templates, previewed with each record's data. If you're coming from Mailrelay, the dashboard offers to convert your template variables, and you confirm it.
- Recipients from the event, with filters, plus extra contacts from a CSV for people who aren't on the list yet.
- Test sends, scheduling, pause and resume.
- A one-click reminder: "Create a reminder" sets up the campaign for whoever received the invitation and hasn't replied. Anyone who replies in the meantime is left out of it.
- Replies land straight in the guest's record.
- One-click unsubscribes and your own suppression list, respected on every send.
- History per recipient: what they got, when, and what failed.
What you still need
So nobody gets a surprise:
- Email goes out through your own sending server (SMTP), never through ours. Supported: Mailrelay, Google Workspace and Gmail, Office 365, Brevo, SendGrid, Mailgun, Amazon SES, Postmark, SparkPost, Zoho Mail, Elastic Email and Mailchimp Transactional. If you already send your badges through your own SMTP, it's the same one.
- The sender and your domain's DNS records (SPF, DKIM and DMARC) are set up once, by hand, at your provider (in Mailrelay, for example). That can't be done from QRACCESS.
- The dashboard checks the sender before sending and warns you about anything that would push the campaign into spam: an @gmail.com or @hotmail.com sender going through someone else's server, a domain with no DMARC record… And it won't launch the case that never arrives: a Yahoo, iCloud or similar sender sent through another server.
- With a mailbox provider (Gmail, Office 365, Zoho) the dashboard keeps each campaign under the provider's daily cap. For large lists, a sending provider such as Mailrelay is the better fit.
How to get it, and what it costs
Mailing is switched on account by account: ask us and we'll turn it on for you.
Its rate is listed under Costs in credits in your dashboard. Like the other per-operation services, it's rounded down per campaign, so a campaign of fewer than 100 emails never costs anything. Whenever Mailing is charged to your balance, the dashboard shows the cost before you launch and checks your balance covers it; if the balance runs short halfway, the campaign stops and lets you know, and once you top up you resume it right where it left off.
Every service, with enough balance
The dashboard checks your balance before every paid service: badges by email and as PDF, Wallet passes, certificates, activating the app, or creating an extra event. If it's not enough, it tells you how much is missing and offers a Top up balance button, so nothing is left half done. Scanning at the door is never held up.
Sending badges by email costs 1 credit per 100 emails, rounded down per send: fewer than 100 emails cost nothing, and 250 cost 2 credits.
Several events on the same list
Matches in a season, sessions of a conference or days of a course: the same QR code for each attendee, and each event with its own date, scanners and statistics. No cloning lists, no importing anyone again.
Each extra event costs 1% of the attendees on the list, rounded down: free below 100 attendees, and 10 credits on a list of 1,000. The dashboard tells you the cost before you create it, and it isn't refunded if you delete the event later.
The 2026 tutorial, on video
We've recorded a new tutorial covering every feature as it stands today, step by step, in 11 minutes — in English, French and Spanish, with chapters so you can jump to what you need.
Fewer mistyped email addresses
If someone types "gmail.con" or "hotmial.com", we ask "Did you mean …?" and they can fix it in one click. It's a hint, not a block.
- On your registration and ticketing pages, for the buyer's email and each attendee's.
- On dashboard sign-up, which also checks the domain can receive email and adds a Check your details step before the account is created.
Billing details and VAT when you top up
Paying now requires complete billing details: your country's tax number (VAT ID or Tax ID), address and postcode. VAT then follows where your business is:
- Businesses in another EU country with a valid VAT number (checked in VIES): 0%, under the reverse-charge rule. Without a valid VAT number, 21% Spanish VAT.
- Outside the EU: no Spanish VAT.
Prices are in EUR everywhere except the Americas, which are priced in USD. Packages and prices for your country are on the pricing page.
The daily registrations report stops by itself
No more reports a week after the event. It stops when you unpublish the registration page, or one day after the event ends. If there was news that day, it arrives one last time and says so. It comes back on its own with your next published event, to the same address.
The dashboard, in each user's language
The dashboard is available in eight languages: English, French, Portuguese, Italian, Spanish, Catalan, Basque and Galician. And now fully: form error messages, too, which sometimes showed up in English.
QR codes that older turnstiles can read
Some older turnstiles and access gates couldn't read certain QR codes. Since September 24 we generate them for maximum compatibility. If you validate with turnstiles or fixed readers and sent your badges before that date, re-send them from the dashboard: the QR image is generated when it's sent, and the code stays the same.
As always
Apart from Mailing, which we switch on when you ask, all of this is already in your account: there's nothing to install or update.
If you'd like to use Mailing for your next event, or anything above fits what you're planning, write to us and we'll go through it with you.
